Failed and pending orders deserve attention, but a count alone cannot tell you whether WooCommerce checkout is broken. A shopper may leave before paying, a payment method may complete later, or a gateway may reject an individual transaction. The useful question is whether a pattern needs investigation in the context of your store.

Understand the status before interpreting the count

WooCommerce describes Pending payment as an order awaiting payment, while Failed indicates a payment failure or rejection in the applicable flow. Other states, including On hold, can be part of an expected payment process. Review WooCommerce’s order-status definitions and your gateway’s behavior before classifying a status as an incident.

A manual payment method and an immediate card-payment flow should not automatically share the same expectations. Write down how long a normal payment takes and who investigates an exception for each important method.

Look at the denominator

Two failed orders out of four attempts produce a very different percentage from two out of four hundred. In a low-volume store, one additional order can change a rate dramatically. A percentage without its sample size is easy to overinterpret.

RevenueGuard’s order-rate warnings use configured thresholds and a minimum sample. Choose settings that make sense for your volume. Keep both an absolute count and the rate visible in your review so that the team can distinguish a small sample from a sustained change.

Use age to investigate pending orders

An order created a minute ago may reasonably remain unpaid. A group of orders much older than your normal payment window deserves a closer look. Start with the age distribution and the relevant payment method rather than contacting every shopper immediately.

For individual follow-up, inspect the authorized WooCommerce and provider records. RevenueGuard’s aggregate dashboard is not a bank statement and does not establish whether funds settled. Keep any customer-specific investigation inside the systems where your team has permission to view it.

Compare the pattern with checkout evidence

If failed-order counts rise while the configured journey also fails, examine the point of failure and recent changes. If the journey passes, remember that it stops before order submission. Problems during authorization, redirects or later callbacks may still exist.

Also compare the time periods. A current passing check cannot explain every failed order from earlier in the day. Record timestamps consistently and avoid assuming two numbers describe the same set of sessions.

Recognize what the dashboard totals mean

RevenueGuard’s store dashboard reports aggregate orders created, orders marked paid and recorded paid-order value for its stated window. Those are operational WooCommerce figures. They are not guaranteed settlement totals, net profit or a complete accounting reconciliation.

Check the displayed freshness and any incomplete-data notice before using the figures. A delayed health report can leave yesterday’s picture on screen. Never compare stale counts with a fresh provider report and assume the difference proves missing money.

Define a short investigation routine

  • Confirm that the data is recent and the time window is understood.
  • Review count, rate, sample size and the age of pending orders.
  • Identify the payment method and expected processing behavior.
  • Compare the pattern with browser incidents and recent changes.
  • Inspect individual orders and provider records only where needed.
  • Record the finding and adjust thresholds only with a clear reason.
